Use a quote tied to the actual settlement date
The CFPB distinguishes a payoff amount from the current balance: interest through the intended payoff date and applicable charges can affect the total. Put the quote, validity date, transaction reference and independently verified payment instructions in one file. If closing moves, ask for a refreshed amount instead of calculating the difference yourself and assuming the lender will accept it.
Track three separate outcomes
Use a three-row tracker: payment received and loan settled; escrow reconciled; release or satisfaction recorded when required locally. For each row record the responsible party, expected evidence and follow-up date agreed with them. A bank transfer receipt establishes what you sent; it does not independently establish that every property-record step is complete. Plan bills after the loan ends
Ask who will pay the next property-tax and insurance bills once the servicer stops collecting escrow. Keep the policy and taxing authority informed through their established channels and create your own payment calendar. CFPB Regulation X describes escrow refund rules and an exception for certain agreed transfers to a new escrow account; consult the rule for your situation rather than assuming the refund offsets the payoff.
